Measure the real load first
We meter what the equipment actually draws rather than adding up nameplate ratings, which overstate reality substantially. Sizing from nameplates sells a bigger UPS than you need; sizing from a guess sells one that shuts down under load. The meter settles it in ten minutes.
Decide what is worth backing up
Machines, the network, the recorder and the till belong on the UPS. Printers and monitors mostly do not — a laser printer's warm-up draws more than everything else combined and will empty a UPS in seconds. Being selective here is what makes the runtime figure honest.
Choose the topology for the supply you have
A line-interactive unit is fine for desks. A double-conversion online unit costs more and is the right buy for a server or a recorder on a supply with frequent dips and a generator changeover, because it isolates the load from every one of those events rather than reacting to them.
Install, set shutdown, and test with the mains off
Wired in, automatic shutdown configured on the server so a long outage closes files cleanly, and then we pull the mains and watch what happens. A UPS that has never been tested under a real cut is a UPS whose battery condition nobody knows.

Questions people ask
How long will it actually run?
Only a measurement answers that, and it is always less than the box implies. Manufacturer runtime figures assume a fraction of rated load. We meter your real draw and test it, so you get a number for your equipment rather than a marketing one — usually enough to ride out a short cut or shut down cleanly, not to keep working through an evening.
Should the printer be on the UPS?
No. A laser printer's fuser draws a large surge on warm-up that can exceed everything else on the UPS put together, and it will either trip the unit or empty it in seconds. Printers go on ordinary protected sockets. What belongs on the UPS is anything that loses work or corrupts data when it stops abruptly.
How often do UPS batteries need replacing?
In this climate, sooner than the datasheet suggests — heat is what ages them, and a UPS in a warm cupboard ages fastest. Expect a few years of useful life rather than the optimistic figure on the box. The failure is silent: the unit looks healthy until the day it is needed, which is why we test runtime rather than trusting the indicator.
